Creating trade items in the Catalog

This article shows you how to create trade items in your catalog in Floriday.

The catalog is your starting point in Floriday. This is where you create trade items (the products that you grow), including VBN codes, packing configurations, characteristics and photos.

Once you've created trade items, you can use these for Direct sales and Clock deliveries.

Adding trade items to the catalog

Log in to Floriday and click on Catalog on the left. This takes you to the Trade items overview.

If there are no items in your catalog yet, click on Add your first item.

If trade items are already present, click on the Add item button on the right-hand side to start creating a new trade item.

To edit an existing item, right click on a trade item and click Edit.

When creating a new trade item, you will first need to enter the item's VBN code. On the left side, you can select the product group, and on the right side you can select the VBN product code. Click in the field, enter the number or name of the VBN product code and click on this to select the code.

Every flower and plant has their own VBN code. Find the entire list of VBN product codes at Floricode.com.

Once you've entered your product's VBN code, click on Continue to go to the next step: Item details.

The Item details is where you give the trade item a name and a unique item code. We'll explain each section below.

Item Code: Item codes are unique codes that are assigned to each trade item. This way you can easily distinguish your various trade items.

As your catalog grows, it may become difficult to keep items apart. Using item codes is a convenient way to create a logical system for your trade items. It is up to you to make your item codes as simple or complex as you wish. For instance, you can use a simple list ( 1, 2, 3, etc... ) or include the name, stem length and pot size in the item code ( Hya7015, Hya8015, etc... ).

Please keep in mind that customers use these item codes to incorporate your trade items into their systems. For this reason, item codes cannot be changed after an item has been saved.

  • Name: This is where you fill in the name of the item.

  • GTIN (optional): If you use barcodes for your items, you can enter these here for a particular item.

  • Collection (optional): If you have created a collection, you can choose here to assign the item to one of your collections.

  • Item type: Select here whether you want to make the item available to everyone or only to specific customers. If you choose Customer specific, the heading Customers activates and you can select the customer(s) for whom the item is available here.

Finally, you can select whether the item may be displayed in the public catalog or whether the product is only intended for personal use in Floriday.

Now click on Next Step.

The Plant Passport section is only important if you are a plant grower and wish to print Plant Passports through Floriday.

Are you a cut flower grower or do you already print your Plant Passports yourself? Then skip this section. In this case, go directly to the following section, Characteristics, by clicking it.

Are you a plant grower and would you like to print your Plant Passports through Floriday? If so, enter the Botanical Name and Country of Origin of the item in this section, then click Next Step.

You've guessed it, in the Characteristics section you fill in the characteristics of the item. The necessary characteristics are automatically displayed based on the VBN product code entered.

Fill in the values of the characteristics here and, if necessary, add additional characteristics using the Add Characteristics button.

On the right-hand side, you will see the option Add Variant. You use a variant if the product characteristics are slightly different. When supplying your products, it then becomes straightforward to select one of the variants.

Now click on Next Step.

Have you made the item customer-specific in step 4? If so, you now come to the Customer section. Click on Change Customers to assign customers to the item, after which the item will only be available to this/these customer(s). After adding the customer(s), click Next Step to go to the Photos section.

Have you made the item regular in step 4? Then you now come to the section Photos.

In this section, you can add the photos of your product. You can add several different photos, for example a photo with a yardstick or an atmosphere image. Drag and drop a photo from your computer to the appropriate box or click the Select Files button to upload a photo from your computer, phone or tablet.

After you have added a photo, you can modify or delete it as you wish by clicking on the three dots in the photo.

Then click Edit to rotate or crop the photo. Click Set Photo Type to set the type of photo. Click Set as default photo to set the photo as default. Now click on Next Step.

If you have linked multiple photos to an article, you can also determine the order of the photos yourself by dragging the desired photo.

In this section, you can specify the packing configuration(s) of the item.

Click on Add Packing Configuration and then enter the Load carrier, the Packaging code and the number of Layers per carrier, Packaging unit per layer and Quantity per packaging unit. Then click on Save. Do you have multiple packing configurations available for this item? Then add these or click on Next Step. You can also create packing configurations specifically for a customer by choosing 'customer-specific packing configurations' when adding the packing configuration.

The Composition section is optional.

If you have previously created Base Items, you can add this item to one of your base items in this section. Click Next Step to enter the last section, Availability.

In the Available section, you can specify when the item is available. You can opt for Year-round or a Specific Period. In the latter case, simply click on the beginning and end of the week to indicate the availability for a specific period.

Finally, don't forget to click on Save and the item will be created!

The shortcut keys in the catalogue

At the top of the catalogue you will find a number of fields and buttons that make it easier to use.

Below, we explain how to use each one.


The search function

The name says it all, with this function you can easily search for specific (groups of) articles within your catalogue. Enter (part of) the name or an article code, for example, to show only those articles with that name or article code.


Filter

The filter button allows you to search even more specifically for items within your catalogue. The filter button allows you to search for specific properties.

For example, do you only want to see pot size 15? Set a filter for this and you will only see the articles in the catalogue with pot size 15.


Filtering by collection

This function is only available when you have created one or more collections in your catalogue. You can read how to do this in this article.

Select a collection here to show only the items within that collection.


Regular and customer-specific articles

These two buttons represent your regular and customer-specific items.

Click the left icon to view your regular items. Click the right icon to view your customer-specific items.


Manage characteristics quickly in the catalog

In the catalog in Floriday, you can also quickly and easily add a characteristic to several items, so you don't have to edit the characteristics per item separately.

How does it work?

  • Click the Set Characteristics quickly button.

  • Look up the characteristic you wish to edit, for example Transport Height or MPS certification.

  • Then fill in the correct characteristic value per item.

  • Finally, click 'Save' at the top to save this characteristic for all selected items.


Manage photos

This feature lets you manage the photos of your articles in no time. Whereas you previously had to edit each article separately to adjust the photo, you can now do this on a single page in Manage photos.


Photo view and list view

These two buttons switch between views in your catalogue. The left button is for the photo view. You then see the corresponding photos in full size with their most important properties below. Click a photo to edit the article.

The right button is the list view. You will then see the articles listed below each other, with the photos in miniature and, next to them, the most important properties and the article's load. Click on an article to edit it.


Other tips

Three dots

The three dots next to an article give you some more options. For example, by clicking on Share Article you can generate a URL or QR code. These links take a buyer in the Explorer to this article. Clicking Edit takes you back to the Article Edit screen. At Copy you can copy the article in one click to create a new article. This can be useful when most of the new article is the same, but it has a different article code and picture, for example. If you want to delete an article, click Delete.


Older versions of articles

When editing an article, you can see the different version numbers of an article on the right side of the page. Click on a version number here to see what this article looked like in that version.


Adding product specialists

You can now also add product specialists to articles. This lets buyers know at a glance who the specialists within your company are.

To attach a product specialist to several articles at once, first tick the articles in the catalogue. Then choose Quick settings > Set product specialist in the bottom bar. These specialists will immediately become visible to buyers in My Store.


360° product photos

If you have the necessary Orbitvu branded photo equipment, you can also add 360° product photos in Floriday. This is a feature that is currently only available on request.

You take the photo and then generate the special key via the Orbitvu software. You then go to your Catalogue, edit an item and you can enter the key at the bottom of the page.

Once you have done this, the 360° product photo is added to the article. Customers who then open this article in Floriday will be able to see the product from all sides!

Selecting multiple items at once

You can do different settings for multiple articles at once. Set the view to a list view and select the boxes for the items you want to edit at the same time. In the yellow bar under 'quick settings' you will see different choices, such as being able to add properties and set availability.
